POSITION SUMMARY
A strategic and detail-oriented Executive Assistant is needed to provide high-level support to the President of Lectra’s Americas division. This important role requires discretion, flexibility, and a solid grasp of executive-level operations. Working closely with the President, the Executive Assistant will help coordinate activities across 31 countries supporting global initiatives in fashion, automotive, and furniture. The ideal candidate is skilled at managing busy schedules, handling confidential information, business follow up, and communicating effectively with senior leaders with professionalism and confidence.
DUTIES AND RESPONSIBILITIES
Executive Support & Calendar Management
- Manage the President’s calendar across multiple time zones, including internal meetings, client engagements, and global executive committee sessions.
- Coordinate travel logistics, accommodations, and itineraries for domestic and international trips.
- Anticipate scheduling conflicts and proactively resolve them to optimize executive time.
Communication & Correspondence
- Draft, edit, and manage high-level communications including emails, memos, reports, and presentations.
- Serve as a point of contact for internal teams, clients, and external partners, ensuring timely and professional responses.
- Maintain confidentiality and handle sensitive information with discretion.
Meeting & Event Coordination
- Organize and prepare for strategic meetings, including board meetings, quarterly reviews, and cross-functional briefings.
- Prepare agendas, compile briefing materials, take minutes, and track follow-up actions.
- Coordinate logistics for virtual and in-person events, including technology setup and stakeholder communications.
Strategic Project Support
- Assist in tracking progress on key initiatives such as customer success programs, regional growth strategies, and operational excellence.
- Collaborate with cross-functional teams to gather data, prepare reports, and ensure alignment with executive priorities.
- Monitor KPIs and provide insights to support decision-making.
Relationship Management
- Build strong relationships with internal stakeholders, including senior leadership, regional managers, and global teams.
- Act as a liaison between the President and external partners, including clients, vendors, and government officials.
- Represent the President with professionalism and tact in all interactions.
EDUCATION AND/OR EXPERIENCE
- Minimum 5–7 years of experience supporting C-suite executives, preferably in a multinational or technology-driven organization
- Bachelor’s degree in Business Administration, Communications, or related field; advanced degree or certifications a plus
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office Suite and executive scheduling tools (e.g., Outlook, Teams, Zoom)

- Experience supporting executives in industries such as fashion tech, manufacturing, or enterprise software is highly desirable
- Bilingual capabilities are a plus given Lectra’s international footprint (Spanish, Portuguese, or French)
PHYSICAL DEMANDS
- Prolonged periods of sitting at a desk or workstation are common, often for several hours at a time. Occasional standing or walking may be required for tasks like delivering documents, attending meetings, or setting up conference rooms. May need to reach for files, office supplies, or equipment stored in cabinets or shelves.
